​Group Session Policies

​

• Group Sessions max at 3 hours & 20 participants OR minimum 1 hour & 5 participants

  • ​If additional time is needed, please mention desired length of time on the request form

• Group Sessions must be paid for in full, to confirm the group session date(s).

• Regularly scheduled group sessions are available upon request & highly recommended!

​

• Invoicing will go out once a month for monthly payments. Any late invoices will be charged a $15 late payment fee. If payment is not received after 3 days of the invoice due date, your group session will be canceled and you will be removed from the calendar. Acceptable forms of payment are bank transfer, cash, check, credit card, cashiers check or via invoice which can be paid online. Any bounced check will result in a $15.00 bounced check fee.​

• Group Sessions will be scheduled based on availability, group size & length of requested session time. 

​

• In the event of severe weather where it will not be safe attend the outdoor ranch location of Healing with Equine Essence, the session can be rescheduled at no additional cost. No more than 3 reschedule attempts will be made. Reschedule of session must occur within 30 days of the original missed session date. No refunds will be given. 

​

• If the client wishes to cancel the confirmed group session, it must be done by 12:00noon the day prior, to the scheduled group session time. No refunds or credits will be given for this cancellation unless approved. This approval is not guaranteed. Three reschedule attempts will be made. Rescheduling of the session must occur within 30 days of the original session date. 

​

• ONLY ONE GROUP SESSION MAY BE RESCHEDULED PER MONTH PER CLIENT. Clients who book monthly group sessions will be billed once per month. Payment for the month's sessions, will be due on the 5th calendar day of each month. If payment is not received within 3 calendar days of the invoice, all future sessions will be canceled, no refund will be given & timeslot will be forfeited. The application will be added to the waitlist. Once there is matching availability on the calendar, and any past due balance has been cleared, sessions can be scheduled.

• To cancel or reschedule a group session, Healing with Equine Essence must be contacted by 12:00noon, the day prior to the group session. Cancellations without proper notice result in full charge for the group session. No refunds unless approved. Rescheduling is based on calendar availability. 

​

• If a group is going to be more than 15 minutes late to a confirmed group session, HWEE must be notified or the session will be forfeited, and the full amount will be charged. A credited reschedule will not be an option. Please notify Healing with Equine Essence if the group is going to be late, so staff can be prepared. 

​

• There will be NO REFUNDS on a no call, no show. Full amount will be charged. 2 consecutive no call no shows will results in a termination from scheduling future events with Healing with Equine Essence, with no refunds. The application will be removed from the waitlist.

• Failure to meet any of the mentioned requirements will result in potential termination of beneficial scheduled group sessions.

• Healing with Equine Essence reserves the right to dismiss a group or amend the group session policies &  requirements at any time with or without notice. Policies are consistently available on the website for review. ​

​

• In case of emergent event, Healing with Equine Essence will reach out to the groups primary contact, notifying of the emergent event. Decisions will be made in the best interest of the group depending on the emergent event. Safety of all is first priority.

Individual Lesson Policies

• Lessons will average one hour or half an hour including grooming, tacking, and riding. 

​

• Standard rider weight limit MUST BE under 220lbs​

​

• All lessons must be paid for in full by the 5th calendar day of each month, in order to hold your spot on the roster for the current month. ​

​

• Riders will be booked one month at a time by HWEE staff unless otherwise discussed. Invoicing will go out once a month for monthly payments. Any late invoices will be charged a $15 late payment fee. If payment is not received after 3 days of the invoice due date, your lessons will be canceled and you will be moved to the waitlist. Acceptable forms of payment are cash, cashier's check, or via online invoice. Any bounced check will result in a $15.00 fee.​ All cash and cashier check payments must be made by the 5th of the current month, to confirm the scheduled lesson time(s).​

• Lessons will be scheduled based on calendar availability and rider availability. Once matching availability has been confirmed, lessons will be scheduled. ​

​

• In the event of severe weather where it will not be safe to ride in the indoor arena, a Horse Leadership lesson in the barn will be given in place of riding. However, in some cases of extreme weather, barn staff will contact rider/parent via text message no less than 2 hours prior to the lesson to cancel the lesson at no expense to the rider. A  makeup will be given, but if space is not available, a credit will be given. If clients wish to cancel on their end due to bad weather, it must be done by 12:00noon, the day prior, to the scheduled lesson time. A Horse Leadership lesson will be given as a makeup.

• ​Gift Cards/Gift Certificates MUST BE used within 30 days of purchase. Expired Gift Cards/Gift Certificates may not be honored. No refunds on expired/unused Gift Cards/Gift Certificates. Three attempts will be made to reschedule the missed lesson.

​

• ONLY ONE RIDING LESSON MAY BE RESCHEDULED PER SESSION PER CLIENT. The makeup lesson that is rescheduled will be a Horse Leadership lesson, not a riding lesson.​

​

• To cancel a lesson, HWEE’s coordinator must be contacted by 12:00noon, the day prior to the lesson. A make up day will be scheduled, the makeup lesson will be a Horse Leadership Class. Cancellations without proper notice result in full charge for the lesson. Only ONE cancellation is permitted per month. All other cancelled lessons missed will be forfeited. No refunds will be given.​

• If a rider is going to be more than 5 minutes late to a half hour lesson or more that 15 minutes late to a one hour lesson, HWEE must be notified or the lesson will be forfeited, and the full amount will be charged. A reschedule will not be offered.​

​

• There will be NO REFUNDS on a no call, no show. Full amount will be charged. 2 consecutive no call no shows will results in a termination from the academy with no refunds. Voluntary unenrollment from the academy with less than 30 days notice will be a full charge for the month.​

​

• If you are paying by way of school voucher, lessons will be booked for you and all other policies apply.​

​

• Failure to meet any of the above requirements will result in termination of lessons. Healing with Equine Essence reserves the right to dismiss a student or amend the lesson requirements at any time.
